Credible Documents guide

Protect, sign, share and track PDFs — with a watermark and verification code on every page, an optional blockchain record, and a verification portal anyone can use.

Overview

Credible Documents turns an ordinary PDF into a document anyone can check is genuine. Open it from the Documents module in YourProDesk.

Uploading & protecting a document

1. In Documents click Upload and choose a PDF.
2. Choose the options:
   • Public or private — public documents can be verified by anyone with the document ID and code; private ones also need an access code.
   • Expiry — how long the document stays valid (12 months by default).
   • Request signature — send it for signing after saving.
3. The document opens in the editor so you can add text, signatures or fields before saving.
4. On save, YourProDesk adds the watermark with the document's verification code and QR code, records a fingerprint (SHA-256 hash) of the document, and — if selected — writes that fingerprint to the blockchain.

Maximum file size depends on your plan: 10 MB on Free, 25 MB on Starter, 50 MB on Pro, 100 MB on Business.

The document page

Each document has its own page with everything in one place:

• Verification code, QR code (download as PNG) and blockchain details.
• Public / private switch and share links.
• Signing status and the full signing history.
• Notes, labels and expiry with a Renew button.
• Who verified, requested details or was given the original.

Blockchain record

When you choose blockchain recording, the document's SHA-256 fingerprint and a timestamp are written to a Hyperledger Fabric ledger — a permissioned blockchain of the kind used by banks and supply chains. No cryptocurrency, no fees per transaction, and no document content leaves your account: only the fingerprint is recorded.

Because the record can't be changed afterwards, it proves the document existed in exactly this form at that moment. The document page shows the transaction ID; the verification portal shows whether the blockchain record matches. If the blockchain is briefly unavailable, the record is written automatically once it's back.

Electronic signing

1. Open the document in the editor and place signature fields where each person signs.
2. Add the signers' names and email addresses. For contracts with several parties, add them all to one envelope — in signing order if needed.
3. Each signer gets an email with a secure link and signs in their browser — no account needed.
4. When everyone has signed, every party receives the signed PDF automatically.

• Signing links are valid for 7 days.
• Signers who haven't acted get an automatic reminder after 3 days. You can also resend a request yourself.
• You can cancel a pending envelope at any time.
• Signing costs one credit per document — however many signers you add.

PDF editor & merging

The in-browser editor works on any uploaded PDF:

• Text — add new text, or click existing text to change it (the editor reads the text under your cursor).
• Signatures — draw, upload an image, or reuse a saved signature.
• Images, shapes, lines and arrows, highlighting and freehand drawing.
• Zoom and rotate, with keyboard shortcuts.

Merge PDFs combines several files into one and opens the result in the editor — up to 2 files on Free, 3 on Starter and 5 on Pro and Business.

Simple forms

Turn any PDF into a form people fill in and sign on their phone: place text, date, dropdown, checkbox and signature fields over your existing document, share a link or QR code, and get every submission back as a completed PDF. Forms that request a signature use 1 credit per submission; forms without a signature are free.

Sharing & access

This is how creative content protection works: send watermarked drafts to publishers or clients, and unlock the original for one recipient once you're paid or the deal is signed.

Tamper detection

Upload a PDF on the tamper-check page to find out whether it is an unaltered copy of a document issued through YourProDesk. It reports authentic, altered, or not issued by YourProDesk, and checks the blockchain record. See the verification portal guide.

Managing documents

• Notes and labels to organise and search your documents.
• Expiry: you're emailed 7 days and 2 days before a document expires. Renew extends it by a year; set expiry for many documents at once with bulk actions.
• Bulk download: select documents and receive a ZIP download link by email.
• Audit log of everything that happened in your account, exportable as PDF.
• Deleting a document removes it from your list.

Selling PDFs (Distribution)

Sell guides, books and reports through your WooCommerce store. Every buyer automatically gets a copy personalised with their name, order number and date, with optional copyright page, AI-use notice, blockchain QR, editing restrictions and a password to open. One webhook connects your whole store; each sale uses 1 credit.

Plans & credits

Credible Documents uses credits for the actions that do work on your documents:

Editing, saving and merging PDFs don't use credits.

Credits are bought in packs and never expire; higher plans pay less per credit. You can turn on auto-recharge to top up automatically. Plans (Free, Starter, Pro, Business) also set file size and merge limits and unlock features such as notes, labels, the API and webhooks — see Pricing and Account → Credits for your balance.

API & webhooks

Automate Credible Documents from your own systems. Create an API key under Account → API keys and use the REST API to:

• upload a PDF, list and fetch documents, delete a document,
• verify a document, and
• send a document for signature (1 credit).

Under Account → Webhooks you can register URLs that YourProDesk calls when things happen to your documents, send a test event, and see the last 20 delivery attempts.

Account security

• Email verification on sign-up and rate-limited logins.
• Two-factor authentication by emailed code, with trusted devices remembered for 30 days.
• Password change, profile and remembered devices under Account → Security.
• You can permanently delete your account and all its data from Account settings.
